In the high-octane world of web agencies, we're all too familiar with the daily hustle and bustle of juggling multiple projects, meeting tight deadlines, and striving to exceed client expectations. It's a thrilling adventure, but it can also be a daunting one without the right tools in your arsenal.

That's where web agency project management tools step into the spotlight. These digital allies are more than just software; they're the secret sauce to surviving and thriving in the ever-evolving landscape of web design and development.

What is a web agency?

A web agency can be defined as an organization specializing in the digital realm, dedicated to delivering online solutions tailored for internet use.

Such agencies can be involved in all or specific phases of the design process, aiming to create or enhance websites, mobile applications, and various digital solutions.

While creating digital solutions has become more accessible, the distinctive aspect of hiring a web agency lies in their specialized expertise.

Web agencies typically possess a wealth of experience and a repository of valuable insights derived from previous projects, which can offer significant advantages to your business.

What is web agency project management?

Web agency project management involves the strategic coordination of activities for the development and maintenance of a recently established or redesigned website, landing page, or site feature.

Just as in other client-oriented endeavors, the effective management of website projects necessitates careful allocation of resources.

A proficient project manager must distribute different website-related tasks, such as SEO assessments, quality assurance procedures, and bug verification, among team members to prevent any one contributor from being overburdened or underutilized.

Web agency project management also entails the responsible allocation of the project's budget to various tasks while setting aside funds for unforeseen expenses. A standard agency offering website project management services typically includes the following components:

Website Project Management Methodologies

Have you ever found yourself racing against the clock to complete projects, only to face unexpected hurdles at the finish line? Perhaps it's a good moment to reevaluate the fundamental principles that shape your project management approach.

Several established methods exist for effective project management. Without them, the management of web design projects may lack the essential elements of organization and clarity.

You might have your preferred technique for handling projects, or you could even employ different methods for various projects. Regardless, it's imperative to assess the fundamental attributes of each technique and choose the one that best aligns with your specific needs.

1. Agile

Incorporating the Agile methodology into web design project management involves breaking the project into manageable segments, known as cycles or sprints, each aimed at achieving an immediate milestone by its conclusion.

These cycles or sprints may be focused on tasks like project research, wireframe creation, web page design, or page testing. Each of these objectives signifies a project milestone, with its own dedicated timeframe.

Agile projects emphasize flexibility, collaboration, and adaptability to change. Therefore, for projects that require frequent adjustments and enhanced teamwork among team members, Agile is the preferred approach.

Consequently, Agile allows for open discussions about modifications with relevant stakeholders and enables quicker responses to those changes. Consequently, workflows are adjusted, and schedules are adapted in real-time to accommodate the necessary changes.

2. Kanban

Embracing the Kanban methodology within web design project management is particularly beneficial when you require a visual framework for project oversight.

Kanban proves to be highly effective for projects that involve minimal alterations during their execution.

The Kanban board is composed of columns that feature cards associated with distinct project stages. These columns typically include labels like 'To be done,' 'In progress,' 'On hold,' and 'Completed.'

Consequently, all ongoing tasks are visible under the 'In progress' column, while completed tasks are displayed under the 'Completed' column. This layout allows for a quick, at-a-glance assessment of each task's current status within the project execution cycle.

Furthermore, the cards themselves are rich in information, with each card presenting details such as task names, due dates, assigned team members, attached files, and task descriptions if available.

Therefore, you can simply click on an individual task card to access comprehensive information pertaining to that specific task.

As the project progresses, tasks transition through various stages, illustrating their flow. For example, a task card will initially appear under the 'In progress' column while you actively work on it.

Once the task is completed and submitted for review, it moves to the 'Under review' column, signifying that it has been finished and is presently under assessment.

These transitions between columns are easily facilitated through a straightforward drag-and-drop action on the dashboard.

3. Waterfall

For projects that adhere to a predetermined path of execution and do not involve modifications once underway, the Waterfall methodology stands out as an ideal project management approach.

With Waterfall, you establish the workflow in accordance with the web development project plan, allocate resources, and define specific deadlines.

The core principle is that the project's progression adheres strictly to the planned path, with no room for changes at any phase of the project.

Under this methodology, tasks are meticulously arranged in a sequential order, meaning you can only commence the next task once the preceding one is successfully completed.

In the event that you need to revisit a task, you would essentially need to initiate the project anew from its initial stage. This is analogous to the unidirectional flow of a waterfall, signifying that the Waterfall methodology lacks flexibility.

Nevertheless, it remains a straightforward approach suitable for projects with well-defined objectives that do not necessitate alterations throughout their lifecycle.

4. Scrum

Scrum represents another methodology employed in web design project management, characterized by its cyclical and sprint-driven approach. In Scrum, a Scrum Master takes on the role of leading the team through each sprint.

Tasks are selected from the backlog and structured into brief sprints lasting two to four weeks. Short, 15-minute daily meetings are conducted to outline what each team member aims to achieve on that particular day.

At the close of each day, the Scrum Master conducts a 'Sprint Review,' where tasks are evaluated, and any identified gaps are addressed in the subsequent day's meeting.

This method is particularly well-suited for complex projects with rapidly changing requirements. It enables you to respond to evolving demands on a daily basis, thereby reducing unnecessary time and effort wastage.

5. Critical Path

Managing website development projects can be challenging, as each project entails a specific sequence of tasks that require vigilant oversight. If you're searching for a system to facilitate this, then the Critical Path technique is the perfect choice.

With this approach, you identify the longest sequence of interdependent tasks as the critical path. This designation clarifies the most vital tasks within the workflow, allowing team members to focus their utmost efforts on these critical elements.

By doing so, you can ensure that deadlines are met, and quality standards are upheld. Highlighting this critical path guarantees that the most essential tasks in the web design project management workflow receive thorough attention.

This, in turn, establishes a more solid foundation for completing the project on time and as expected.

Why do web agencies need project management?

I would recommend you should go for this software for your web agency project management.

Hive provides real-time,web agency project management throughout their entire lifecycle, offering a significant improvement over traditional weekly status updates, which can become outdated and inaccurate.

With Hive, individuals, teams, and agencies can collaborate seamlessly, both internally and externally. Through Hive's external user feature, web-based agencies can access specific sections of the Hive dashboard and project data, allowing them to monitor campaign progress in real-time.

Some of the world's largest and most influential brands rely on Hive for the flawless execution of global campaigns.

Furthermore, Hive offers a robust proofing feature, enabling users to attach various file types, such as PDFs and JPGs, for in-app proofing. This feature is particularly valuable for agencies working on multiple iterations of creative projects, helping them keep track of different versions.

Trello is basically set up as a single screen to show you all web based marketing projects and their statuses in one view. From there, you can access each project. Its simplicity is its core strength, letting you easily manage your web agency projects from one view.

Trello has some advanced features called “Power Ups”. These power ups are integrations with other apps and software you might use.  It also has a calendar so you can see your projects’ deadlines.

Each item's details are contained within a card, allowing you to attach files, append notes, specify deadlines, and define their status.

Podio resembles the web based marketing project management tool in the sense that it starts as a completely blank canvas. Its potential is virtually limitless, allowing you to shape it to your specific needs through customization.

In addition to project management, Podio transcends into a comprehensive business database. You can utilize Podio as your company's CRM system, set up web design project boards similar to those in Trello, and even construct a help desk application within the Podio framework.

The primary benefit of Podio lies in its adaptability to meet your unique needs. It has the capacity to oversee and manage all your projects effectively.

All you have to do is create your Podio apps, and there are readily available templates for your convenience. You can then customize these apps by adding as many fields as necessary.

For instance, if you want to keep track of your clients' birthdays in your project management app and receive notifications two weeks prior to their birthdays to send them birthday cards, Podio can be configured to accommodate these specific requirements.

In addition to the flexibility of Podio's boards and apps, you also possess the capability to establish automated workflows.

For example, when a web design project advances to the "In Design" phase, it can automatically be assigned to a team member, complete with a designated deadline and a checklist of tasks they need to accomplish.

The most significant challenge with Podio is the initial configuration and fine-tuning, which can be time-consuming. Right out of the box, you will need to establish your boards, along with the specific project apps tailored to your requirements.

In my web design agency, we transitioned from Trello to Podio while adhering to our existing processes and workflow, and this migration took several months to complete. It required time to configure the apps, construct them, and thoroughly test the workflows.

Another limitation of Podio is its relatively limited selection of third-party integrations, which leaves room for improvement in terms of seamless communication with other apps you may be using.

Asana serves as an alternative web agency project management tool, akin to Trello but with more extensive features. In addition to Trello's Kanban-style layout, Asana offers a range of robust applications that seamlessly integrate with the Kanban board.

Asana boasts an excellent calendar application for tracking project progress and deadlines, a Conversations section to consolidate internal project-related messages.

Also, a Progress area to monitor project advancement, a dedicated Files app for storing project-related files, and a Timeline to help you adhere to your project schedules.

In essence, think of Asana as an enhanced version of Trello, offering an array of additional features. Whether or not you require these extra features beyond what Trello provides is a matter for you to determine based on your specific needs and preferences.

Asana is well-suited for web design agencies, offering a valuable Timeline feature that proves instrumental in adhering to project deadlines.

Furthermore, Asana's templates are a notable advantage, allowing you to convert common processes into templates that can be applied to items within Asana to ensure no crucial steps are overlooked.

The primary limitations are relatively minor. Asana may require some adaptation, being somewhat more intricate to become accustomed to compared to Trello, though less challenging than my experience with Podio. Additionally, Asana's reporting features, while present, are not exceptionally robust.

For projects characterized by recurring cycles, such as ongoing client digital marketing management, Asana might not be the most ideal choice. Lastly, in terms of shortcomings, Asana lacks management reporting tools for tracking team member performance.

In summary, Asana stands out as a valuable web-based marketing project management tool for web design agencies seeking an upgrade from Trello, providing a more feature-rich project management environment.

Basecamp and Asana share a common trait; they can be viewed as more comprehensive alternatives to Trello. However, the key distinction between Asana and Basecamp lies in their design and user interface.

While my personal preference leans towards Asana, I believe it's important to dedicate some attention to Basecamp, as it remains a widely employed project management tool within the web design agency sphere.

The primary rationale for opting for Basecamp is its effectiveness in facilitating collaboration, particularly with clients. It serves as an excellent choice for businesses engaged in extensive client interactions, seeking a centralized platform to manage all related information. Additionally, Basecamp excels in consolidating project communications within a unified environment.

However, I find that Basecamp may not be the most suitable solution when managing multiple projects simultaneously, as its overall project overview lacks substantial utility, in my opinion.

In essence, I believe that Basecamp is most ideally suited for web design businesses dealing with a few sizable projects that entail extensive client engagement, as it caters well to this context.

Conversely, if you have a multitude of concurrent projects to oversee and aspire to streamline your workflow, Basecamp may not be the optimal choice.

Choosing the best web agency project management software

Now that we've covered the fundamental aspects of each project methodology and how they can be best leveraged for client-based projects, it's essential to emphasize that these methodologies are essentially tools employed to simplify web marketing project management and enhance its success.

You need not feel overly confined by strict rules or what is conventionally recommended on paper. What's crucial is to tailor your approach to the specific requirements of your client's project and align it with the broader operations of your agency.

In fact, some offline surveys indicate that over half of project managers opt for hybrid approaches, often involving a combination of both waterfall and agile methods.

For instance, a common hybrid approach may involve employing the Waterfall methodology for project planning, creating a more structured plan, while executing it with Agile to introduce the necessary flexibility and adaptability.

Furthermore, it's worth noting that 81% of agile teams incorporate some variation of Scrum, including hybrid models like Scrumban. Although Scrumban is typically used as a transitional method between methodologies, it can also be applied regularly.

This is often achieved by integrating a Kanban framework with two-week project sprints, among other variations. As we've established, there are a multitude of ways to merge these philosophies in practice, providing a world of flexibility and customization.
